This website has some good tips for making complaints. It is usually best to put your complaint in writing. Try to stay calm and polite which will help get your ideas across more clearly and effectively. Enclose any copies that help present your case, and always save everything that deals with the results or findings.

Give the business some time to resolve the issue, and check back if you feel the business is avoiding the situation. Keep your letter short and to the point, and state the facts clearly and in logical order. This helps the company sort things out in a more effective way. If you are putting things in writing put the word “complaint” at the top of the letter. You may be able to seek the services of a complaint business who specializes dealing with unsolved issues. All you have to do is fill out a complaint form with the company who specializes in this, and they will try to solve the issue with the company.

    If they have a complaint form should you only do this, not a letter too? This is all very useful information, the title is very catchy and made me want to read it.

    I also liked the title….I guess from what I have been reading that it is better to write a letter than to complain in person. New info for me but useful.

    If all complainers and complaint responders followed the method of the former being patient and the latter resolviing the problem as quickly as possible, customers and companies could have much better relationships. I had no idea that companies had complaint forms, and I will definitely try to use those if I ever have a complaint.

    Also… remember to keep a copy of the complaint letter for future reference. This is remind you when you sent the letter and will keep the company from twisting your words.

    I think the first part of this paragraph deals well with making an effective complaint. Writing down your complaint, regardless of if you are going to send the complaint in writing or not, writing your thoughts first can help to make your argument clear and effective.
